Buyer's guide
Marketing agency software: the stack, by job
A marketing agency needs software for seven jobs: content, paid ads, reporting, CRM, finding clients, billing and project management. Here is what to look for in each, what RoboMarketer covers, and where you'll still need another tool.
Last updated
Marketing agency software is the set of tools an agency uses to deliver client work, report on it, win new clients and get paid. Most agencies need tools for content, paid ads, reporting, a CRM, prospecting, billing and project management. A few also need SEO tools.
RoboMarketer is one of those tools, and we wrote this page, so take that into account. It covers content, Meta ads, reporting, finding clients and billing under your own brand. It doesn't cover Google Ads, SEO or project management, and we name tools for those jobs below.
The stack at a glance
| Job | What to look for | RoboMarketer covers it |
|---|---|---|
| Content and social | Drafts per client, an approval step, a calendar | Yes |
| Paid ads (Meta) | Ad set drafts, budget control, spend approval | Yes |
| Paid ads (Google) | Campaign management for search and display | No |
| Client reporting | Weekly reports per client, your branding | Yes |
| CRM | Pipeline, contacts, calendar, conversations | Yes |
| Finding new clients | Local business lists, audits, cold email | Yes |
| Client billing | Retainers, per-outcome billing, your Stripe | Yes (Agency plan) |
| Project management and time tracking | Tasks, timesheets, budgets, resourcing | No |
| SEO | Keyword research, rank tracking, site audits | No |
Content and social media
You want software that drafts the work for each client and lets you approve it before anything posts. Getting lots of drafts is easy. Keeping each client's voice, and staying in control of what goes out, is harder.
RoboMarketer handles this with AI employees: ten roles that each draft their own kind of work. The Social Media Manager plans the calendar and drafts posts and captions per channel. The Copywriter writes ads, emails and landing copy in the client's voice. The Graphic Designer makes on-brand images, and the Video Editor scripts and edits short-form video.
Every draft waits in Tasks. You approve it, send it back with feedback, or deny it. AI usage runs on your own AI model key, such as OpenAI, and your provider bills you for it. If you run social media for clients under your brand, see white-label social media management.
Paid ads
For Meta ads, look for a tool that drafts ad sets and budget changes and waits for your approval before money moves. For Google Ads you need a separate tool, and you'll probably end up working in Google's own interface.
RoboMarketer's Paid Media Buyer drafts Meta (Facebook and Instagram) ad sets and budget changes. Spend waits for your OK. RoboMarketer does not manage Google Ads at all. Read more on Facebook ads automation, or compare options on our Madgicx alternative page.
Client reporting
Good reporting software produces a report per client every week, with the numbers that client cares about, under your brand.
RoboMarketer's Marketing Analyst reads ad and social data and drafts a weekly performance report for each client, ready to send. Meta ads data includes spend, leads and cost per lead per client. See Facebook ads reporting.
If you need dashboards that pull from many more data sources, a dedicated reporting tool will go wider. Two are listed in the comparison below.
CRM
An agency CRM should hold your pipeline, contacts, a booking calendar and conversations, and leads should land in it without manual copying.
Every RoboMarketer account gets its own CRM with a pipeline, contacts, a booking calendar and conversations. It is branded "RoboMarketer CRM" and lives at crm.robomarketer.com. GoHighLevel powers it, and we set it up, so you don't need a separate GoHighLevel account or subscription. Leads from Find clients and clients you add in the app sync into it automatically. Setup can take a little while after sign-up.
Finding new clients
Prospecting software should find businesses that fit your niche, give you a reason to contact them, and send outreach without wrecking your sending reputation.
In RoboMarketer you pick a city and a niche. It finds local businesses using Google Maps data, audits their websites and drafts a personal cold email to each one. Smaller volumes send through your Gmail. Large lists go through your own Instantly workspace with warmed-up inboxes. A person approves before anything sends. See agency lead generation and Google Maps lead generation.
Niche Positioning helps you pick who to target. You enter an area, up to three services and your strengths. It checks real local businesses and recommends a best niche plus two backups, each with a suggested price, an angle and a ready offer. The first scan is free. The built-in AI business coach writes sales call scripts, replies to leads and proposal templates (templates, not legal advice). For the wider playbook, read how to get agency clients.
Client billing
Billing software for agencies should handle retainers and, if you sell on results, per-outcome pricing, with invoices under your brand.
On the Agency plan, RoboMarketer bills each client a retainer or per outcome through your own Stripe, on your domain. If you need full accounting, keep your accounting software. This handles client charges, not your books.
Project management and time tracking
Project management and time tracking software tracks tasks, timesheets, budgets and who is working on what. RoboMarketer doesn't do this. Its Tasks list is for approving AI drafts, not for managing projects or people.
Agencies usually choose a professional services automation (PSA) tool or a project management tool here. Teamwork.com and Productive are two that market themselves to agencies. See the comparison below.
SEO tools
SEO tools cover keyword research, rank tracking, backlink analysis and technical site audits. RoboMarketer does not automate SEO. Its free AI website audits are lead magnets for your own site, not an SEO service.
If you sell SEO, you need a dedicated suite. Semrush and Ahrefs are the two best-known.
Other tools agencies use
These are tools for jobs RoboMarketer doesn't do, or does differently. We took each description from the vendor's own website and left out anything we couldn't confirm there, prices included, because they change often. Check each site before you buy.
Checked 29 Oct 2026.
| Tool | Job | What the vendor's site says |
|---|---|---|
| Teamwork.com | Project management, time tracking | Calls itself an "agentic PSA" for winning, planning and delivering projects. It lists time tracking and names agencies among the teams it serves. |
| Productive | Projects, resourcing, finances | "Run Resources, Projects, Finances" in one platform, "purpose-built for agencies, consultancies, and other professional services businesses." |
| AgencyAnalytics | Client reporting | "Client intelligence for marketing agencies." It offers white-labeled client reporting with your logo, colors and custom domain, and connects to 90+ marketing platforms. |
| DashThis | Client reporting | A marketing reporting and dashboard platform with white-labeled dashboards and 30+ connected data sources. |
| Sendible | Social media scheduling | A social media management platform with bulk scheduling, client dashboards and in-app approvals. White label is an add-on on its Elite and Enterprise plans. |
| Semrush | SEO | Keyword research, backlink analysis, rankings and technical audits. |
| Ahrefs | SEO | Tools including Keywords Explorer, Rank Tracker and Site Audit. |
Some of these overlap with RoboMarketer. AgencyAnalytics and DashThis do reporting, and Sendible does white-label social. The difference is approach. Those tools report on or schedule work your team creates. RoboMarketer's AI employees draft the work, you approve it, and the reports, prospecting and billing sit in the same app.
Three example stacks
What you need depends on what you sell. These are starting points, not rules.
A social media agency
RoboMarketer for drafting, approvals, weekly reports, finding clients and billing. Add a project management tool once you have staff who need timesheets.
A Meta ads agency
RoboMarketer for Meta ad drafts, spend approval, cost-per-lead reporting and prospecting. If clients also want Google Ads, you'll manage those in Google's own tools. Check that any reporting tool you add connects to both.
A full-service agency with SEO
An SEO suite such as Semrush or Ahrefs for the SEO work, a PSA or project management tool for delivery, and RoboMarketer for content, Meta ads, prospecting and billing under your brand.
In each case the aim is the same: one tool per job, and as few jobs split across tools as you can manage.
How to choose
Start with the jobs you actually sell, then pick the fewest tools that cover them. Every extra login is one more thing to pay for and keep in sync.
- If you don't sell Google Ads or SEO, you don't need tools for them.
- For anything that posts, sends or spends, make sure a human signs off first.
- If clients will log in, check whether they see your domain or the vendor's.
- Look for unlimited sub-accounts if you plan to grow, so price doesn't scale per client.
- Find out whether AI usage is bundled or billed through your own provider key.
- If you want per-outcome pricing, make sure the tool supports it.
- Confirm the channels you use are on the vendor's list today, not on a roadmap.
See the white-label marketing platform page for everything that goes under your brand.

Is there all-in-one marketing agency software?
RoboMarketer covers content, Meta ads, reporting, a CRM, finding clients and billing, with the app under your brand. It does not cover Google Ads, SEO or project management, so most agencies pair it with tools for those jobs.
What AI tools are useful for agencies?
The most useful ones draft work for each client and wait for your approval, write the weekly reports, and help you sell. In RoboMarketer, AI usage runs on your own AI model key and your provider bills you for it.
How much does it cost?
RoboMarketer Agency is $297 a month or $1,782 a year with unlimited sub-accounts. Business is $97 a month or $582 a year for one business or freelancer.
Does RoboMarketer replace my project management tool?
No. Its Tasks list is for approving AI drafts. Use a project management or PSA tool for timesheets, budgets and resourcing.
